A terminal is a shared tablet or computer on site where you clock in and out with your 4-digit PIN instead of your own phone.
Who can do this: anyone with a Terminal Pin. If you do not have one, ask your office. To set a terminal up, see Set Up a Shared Clock-In Terminal.
Sign in with your PIN
- On the Enter Your Pin screen, tap your four digits. You are signed in as soon as you tap the fourth digit.
- When you have finished, tap Logout. This signs you out and returns the terminal to Enter Your Pin for the next person.
If the screen shows Invalid pin, try again. After ten wrong PINs in five minutes the terminal shows Too many attempts for a few minutes.
What you see next depends on how your office has set up the terminal: either a list of today's work, or a list of jobs.
Clock in from today's work
If the screen shows Today's Events, it lists the work you are booked on for today.
- Find the event you are starting.
- Tap its clock-in button.
If it says No events scheduled for today, you have not been booked on anything today. Ask your office to book you on.
Clock in from the job list
If the screen shows a list of jobs:
- Tap the job, or search for it by name or job number.
- Tap the job item.
- Tap the line item you are working on.
- Tap Clock In.
Some jobs open straight onto a Job sheet instead of job items. Tap Clock in to this job, then tick off each item as you finish it.
If a line item shows No scheduled event for you on this line item, you are not booked on it. Ask your office to book you on before you clock in.
You can only be clocked into one thing at a time. While you are clocked in elsewhere, the button reads Clock Out First to Clock In.
Clock out
- Tap Clock Out.
- Choose Complete if the work for this visit is done, or On Hold if you are coming back to it.
- If the whole line item is finished, tick This line item is finished. It is sent to the office to review.
- Tap Clock Out to confirm.
Take a break or record downtime
If your terminal has them, Break and Downtime buttons sit at the top of the screen next to Tasks. Clock out of your work first, then tap Break or Downtime. Tap End Break or End Downtime in the bar at the bottom when you are done.
If your account has set break times, they show under Breaks on the Today's Events screen, with their own clock-in button.
Add notes, photos and forms to a job
When you have a job open, or you are clocked into one, tap:
- Notes to read or add notes on the job
- Documents to see the job's files or add a photo
- Forms to fill in a form for the job
Some forms have to be filled in before you can clock in or out. The terminal opens them for you when you tap Clock In or Clock Out, and finishes clocking you in or out once they are done. See Add a Form to a Job.
Your tasks
Tap Tasks at the top of the screen to see tasks assigned to you, grouped into overdue, due today and future. A number on the button shows how many are overdue or due today. See Create and Track Tasks.
